Job Description Event Coordinator
General Position Description:
Manage the operations side of all events for the Brooks Marketing department by collaborating with the Events Marketing Manager as outlined below. As a key member of the Brooks Marketing team the Event Coordinator will oversee the logistics for all Rock n Roll events. They will also be the point person for all tier 2 events and local Seattle area events.
Basic Responsibilities:
- Coordinate logistics for all events communicating closely with exhibit and display companies on setup/teardown of Brooks’ booths and displays. Responsible for ensuring that all required forms and paperwork are completed accurately.
- Develop and maintain a process for each major event that includes ordering booth supplies, event staffing and arranging for delivery of all items to event sites. Working closely with customer service and our sales team to ensure on-time delivery of all product and marketing materials.
- Manage data entry for all Event and RnR purchase orders. Responsible for entering requests into the system (both M3 & WORD documents), item number set up, routing purchase orders for approval, updating changes and filing completed transactions.
- Manage all graphic requests for events setting up an internal calendar to track progress and delivery of images to both internal and external partners.
- Coordinate all local Seattle area events and sponsorship execution, securing volunteers, outlining event promotions/giveaways, and overseeing race day logistics. Update Event Manager with post-event reports.
- Develop and maintain new incentives for Brooks Employee Volunteers at local Seattle area events.
- Develop and maintain Marketing historical files and storage by keeping event summaries well-documented.
- As required, willing to assist with shipping and distributions of materials for the Event team.
- Available to work weekends and extended hours as needed at key events/tradeshows.
- Travel will include most tier 2 events, RnR events as needed and attendance at all local Seattle area events.
Requirements:
1. BA or BS degree in Marketing, or a related field
2. Minimum two years experience in the athletic footwear/apparel industry; experience working in a retail or marketing capacity preferred
3. Strong interpersonal and communication skills; must be extremely detail-oriented
4. Must possess the ability to execute a wide variety of tasks and work in a fast-paced, team environment
5. Strong organizational skills and independent work habits
6. Strong computer skills: PowerPoint, MS Word, Excel
7. Ability to interact effectively and professionally with all levels of the organization
8. A passion for the running enthusiast and active lifestyle
